A strong complaint file is easy for someone else to review. If a reviewer can understand what happened in under five minutes, your documentation is probably in good shape.

Use a simple folder structure

  • 01-chronology
  • 02-contract-and-terms
  • 03-payments-and-invoices
  • 04-correspondence
  • 05-remedy-request

Core checklist

  • Start with a one-page chronology.
  • Include receipts, terms, and key correspondence.
  • Label each file with date and source.
  • State the remedy sought in one sentence.

Prefer filenames such as 2026-05-14-email-refund-request.pdf over generic names like screenshot-final2.png. Clear naming reduces dispute about sequence and context.
